Client Corner: Green Warehouse | using Xero to automate the key processes

Green Warehouse FilwoodGreen Warehouse was founded by Will Hayes over a decade ago, with a focus on producing eco-friendly and recyclable products. But the turning point for their success came with the creation of their ‘uBin’ product, a recycling bin that is itself made from recycled plastic – a design that won them a Best Recycled Product award in 2013.

We’ve been working with Green Warehouse since 2006, helping them to move over to Xero and to start feeling the real benefits of the cloud way of managing their finances.


Efficiency through automation in Xero

One of our key mottos here at Kinder Pocock is ‘If you can automate it, automate it’. And it was this desire to look for efficiencies, streamlining and potential for automation that led to our most recent project with Will and the team at Green Warehouse.

With a busy workload and a small team, Will was keen for us to audit their existing business processes and to look for ways to improve these systems. They already had Xero in place doing the accounting basics, and that allowed us to start suggesting some meaningful changes, but Will was also keen for this to be a face-to-face business relationship, as he explains:

“We wanted Sharon to physically see our office and how things are done, to give us peace of mind that we are doing all our accounting practices correctly. You see the accounts in Xero but it’s the first time since we are founded that an accountant would come in and check things over. That was my primary goal – a boots-on-the-ground ‘genchi genbutsu’ assessment.”

For those of you without the Japanese skills, ‘genchi genbutsu’ means ‘go and see’ and is a key principle of the Toyota Production System – a term we’ll be using more when visiting clients!

As part of the review and update process, we’ve helped Green Warehouse by: 
  • Auditing their processes and highlighting the opportunities for improvements
  • Automating areas like recurring invoices and basic bookkeeping etc. to save time
  • Integrating GoCardless and Chaser to automate payment collection and credit control
  • Encouraged them to look deeper into the recent functionality of Xero
  • Helped them use Xero quotes with customers, rather than relying on draft invoices
  • Suggesting the use of Google Forms for doing credit references
  • Expanded the depth and detail of their Xero numbers and reporting
  • Had regular meetings with the team to suggest positive actions they can take.

Client Corner – Hopes Of Longtown

ShopLocal30-largeThis month’s Client Corner focuses on the amazing Hopes of Longtown: A Family Run, Award-Winning and Local Village Stores and Post Office, and their #ShopLocal30 initiative.

Hopes of Longtown is run by Christine, Jenny and Philip Hope, and their new initiative #ShopLocal30 sums up everything Hopes of Longtown stands for.  It represents their mission to put local produce at the hart of everyone’s shopping baskets, no matter where they are.

Here’s why.

Cast your mind back to 2001. If you live in the countryside, the chances are you’ll remember it for one thing only: foot and mouth disease. It was a frightening, isolating and stressful time.

For the Hopes family in Longtown it also showed them how much they missed their local shop, that had closed down a few months earlier. There was nowhere to get news, give each other support or generally come together as a community.

Christine was travelling in Australia when foot and mouth hit and she returned home at the height of the crisis. When thinking about her next steps she discovered something surprising. The costs to get a graduate job would be roughly the same as to set up a shop in Longtown.

The decision was easy. It was a decision backed by Christine’s parents. It was also a decision supported by the local community.

Hopes of Longtown was born!

But a local shop isn’t just a way to bring a local community together.  It’s also a way to create a thriving local economy.

Research backs this up.

For example, it’s been shown that pound for pound spending in smaller independent ‘local food’ outlets supports three times the number of jobs than at outlets of national grocery chains.

It’s why, from the very first days, Hopes of Longtown has stocked local produce.  And of course, when you’re in the heart of Herefordshire and its wonderfully fertile soils, this is a joyful experience.

#ShopLocal30 – What’s it all about?

The first thing you’ll spot when you visit is Hopes of Longtown is the map covered with numbers showing all the producers they stock who are within 30 miles of their front door.

Then, as you browse the shelves, you’ll see that the local products are all highlighted with #ShopLocal30 stickers.  As the stickers suggest, the Hopes define local produce as being within 30 miles of their front door.

 Christine urges you to use the #ShopLocal30 Hashtag

Christine says: ”

We tweet using the #ShopLocal30 hashtag and we’d love you to tweet using it too.

So tell the world when you buy local honey. Tell the world when you buy local eggs that are cheaper than your local supermarket as well as much yummier. Tell the world when you ask your local shop to start stocking local milk and they do. Tell the world all your local produce stories!”  She has also captured the attention of the national media with #ShopLocal30 and has been featured in The Telegraph.

Supporting Animal Conservation in Africa

Kinetic Six’s passion lies in their ongoing work in the animal conservation field in East Africa.  They have successfully implemented several digital radio infrastructures to many of African Parks’ locations.  These technical capabilities are invaluable in African Parks’ ongoing work to combat poaching, and to protect not only endangered animals but the natural flora and fauna of the area too.


What a breathtaking working environment! (We’re still waiting for the call – surely they’ll need us to count the elephants soon?)

Here’s what founder Shaun Leavy got up to on a recent lunch break – being in the right place at the right time, he was able to assist in the relocation of a recently orphaned baby elephant.

New Horizons

The team continues to go from strength to strength, and having just passed their 5th birthday, Kinetic Six are at the beginning of an exciting new chapter.

With Chairman John King (former CEO of House of Fraser) on board, together with Phil Vickery OBE’s recent appointment as Non-Executive Director, the future is looking very bright indeed.

Kinder Pocock have been a key part of Kinetic Six’s growth, working by their side every step of the journey and collaborating with cool tools like Xero, Receipt Bank, and creating awesome strategy reports using Spotlight Reporting, whether this has been to assist in growth plans or award applications!

We wish Shaun and the whole team at Kinetic Six a very happy fifth birthday, and look forward to the next exciting chapter!  We love working with you!
